What I actually build

Seven areas where small businesses repeat the same work every week. Most engagements start in one of them and grow into a second once the first is paying for itself.

These are capability areas, not products off a shelf. What gets built is whatever your version of the problem actually needs.

Custom Automation

Whatever it is that eats your week.

Most of this work starts as a sentence like "every Thursday somebody has to..." β€” and there is no product that covers it because it is specific to how you run. Those are the good ones. Scoped, quoted, then built around your actual process rather than someone else’s.

  • The recurring task nobody wants and everyone does anyway
  • The spreadsheet one person maintains by hand
  • Two systems that do not talk and should
  • Data that gets re-keyed from one screen into another
  • Scoped and priced in writing before anything gets built

Typically for: Every business has two or three of these. They are usually the highest-value thing to fix.

Phone & Lead Response

The call you miss gets answered anyway.

When a call goes unanswered the caller gets a text within seconds, answers a few questions about the job, and lands on your calendar. You get their number and the voicemail transcript, so you can triage from the top of a ladder.

  • Instant text-back on missed calls, with different after-hours wording
  • Voicemail transcribed and sent to your phone
  • Intake questions written for your trade
  • Booking link tied to your real calendar, with reminders
  • Follow-up on estimates that went quiet, stopping the moment they reply

Typically for: Anyone whose phone rings while everybody who could answer it is already on a job.

Quotes, Invoices & Money on the Table

Find the money that is already yours.

Estimates nobody answered. Invoices quietly aging past sixty days. Work completed but never billed. Most small businesses are carrying thousands in this at any moment and have no single screen that shows it. This builds that screen, then chases the items on it.

  • Unanswered quotes and unpaid invoices surfaced in one place
  • Automatic, polite follow-up that stops when they pay or reply
  • Reads from QuickBooks or whatever you already use
  • Flags jobs finished but never invoiced
  • Weekly total: what is outstanding, and how old

Typically for: Businesses sending real quote and invoice volume where chasing is nobody’s actual job.

Recruiting & Hiring

Keep the pipeline warm without living in it.

A built pipeline that finds candidates, fills in what is publicly known about them, scores them against what you actually need, and runs the outreach sequence β€” so hiring is a steady background process instead of a panic every time somebody quits.

  • Sourcing and enrichment from the channels you already use
  • Scoring against a rubric you set, not a generic one
  • Outreach sequences that stop on reply
  • One view of where every candidate stands
  • Built industry-agnostic β€” trades, offices, agencies

Typically for: Businesses that hire continuously, and agencies where recruiting is the growth constraint.

Reports & Dashboards

Stop rebuilding the same report every Monday.

Somebody in your business spends hours each week pulling the same numbers into the same spreadsheet. That is a machine’s job. The report builds itself, on schedule, from the systems the numbers already live in β€” and a dashboard shows the live version in between.

  • Recurring reports built and delivered on a schedule
  • Pulled from the tools you already pay for
  • A live dashboard for the numbers you check most
  • Alerts when something crosses a line you care about
  • No more "which version of this spreadsheet is current"

Typically for: Anyone with a weekly or monthly reporting ritual that eats half a day.

Onboarding & Training Systems

New people get up to speed the same way every time.

Assessment and training platforms that take a new hire from day one to productive without a senior person re-teaching the same material every time. Built for businesses where ramp-up speed is the difference between a hire paying off and washing out.

  • Assessments and quizzes that score themselves
  • Personalised reports back to the trainee and the manager
  • Progress tracked across a defined ramp-up path
  • Training material delivered on a schedule, not all at once
  • Managers see who is stuck, and on what

Typically for: Agencies and distributed sales teams, and any business hiring in cohorts.

Documents & Internal Content

The paperwork assembles itself.

Proposals, quotes, contracts, onboarding packets, internal reports and the newsletter you send your own list β€” generated from your data, in your format, without anybody retyping the same paragraphs into a template for the fortieth time.

  • Proposal and quote documents built from real job data
  • Branded PDFs, generated, not hand-assembled
  • Onboarding and client packets on demand
  • Newsletters and updates to your own subscriber list
  • Consistent formatting nobody has to police

Typically for: Businesses producing client documents repeatedly from the same handful of shapes.

What I don’t do

Worth stating plainly, because it saves everybody a phone call. MASM Solutions does not build websites, does not do SEO or Google Ads, does not manage social media accounts, and does not fix your network or your computers. There are people who do those things well and I am happy to point you at them.

What I do is the operations layer — the repeated internal work a business runs on. If the answer to “who does this every week, and how long does it take them?” is a real person and a real number of hours, that is my lane.

One free call. Thirty minutes.

Bring the thing that eats the most time β€” the report, the chasing, the intake, the onboarding, whatever it is. We work out whether it is worth automating. No pitch, no obligation, and if the answer is that you do not need me, I will say so.
